How long does the full migration take?
Most clubs complete the migration in 4-8 weeks from kickoff to cutover. The timeline includes setup, member onboarding, a dual-run period, and final cutover. Clubs with complex integrations or large member bases may need 8-12 weeks.
Can I run Mindbody and Book & Go in parallel during the transition?
Yes. Many clubs run both systems for 2-4 weeks while members transition. During this period, freeze long-horizon bookings on Mindbody (bookings beyond the cutover date) to avoid conflicts.
What happens to existing Mindbody bookings?
All bookings made before cutover are honored. Book & Go imports upcoming reservations (next 30-60 days) so members see their existing bookings in the new app.
How do we migrate member wallet balances?
Wallet balances cannot be automatically transferred. Options: (1) manually credit wallets in Book & Go based on Mindbody export, or (2) allow members to spend down Mindbody credits before cutover.
Do we need to notify Mindbody before switching?
Review your Mindbody contract for notice requirements. Some agreements have notice periods or early termination fees. Contact Mindbody support to discuss your exit plan.
What if our members refuse to switch?
Resistance is rare when migration is well-communicated. Key tactics: (1) early preview access for loyal members, (2) emphasize benefits (your own branded app, tournaments and rankings, built-in POS, zero commission), (3) in-club support during first week. Most clubs see 80%+ adoption within 2 weeks.
Will I lose access to the Mindbody marketplace?
Yes, you will lose access to the Mindbody marketplace. However, the trade-off is: (1) your own branded app building long-term loyalty, (2) full control of player data and marketing, (3) 0% platform commission with flat subscription pricing, (4) software actually built for sports clubs. Most clubs find the economics favor independence once they establish their own brand.
Is Book & Go suitable for fitness and wellness studios like Mindbody?
Book & Go supports lesson scheduling, class booking, event registration, and POS features. However, Mindbody was specifically built for wellness businesses. If you run a pure wellness studio (yoga, Pilates, spa), Mindbody may be a better fit. If you run a court-based sports club that also offers fitness classes, Book & Go is purpose-built for that.
Does Mindbody support court-based sports clubs?
Mindbody uses class/appointment-based booking that does not translate well to court operations. It lacks court-specific features like court scheduling, tournament management, player rankings, and open-match coordination. Sports clubs typically find Mindbody's wellness focus a poor fit for court-based operations.
Will I lose features if I switch from Mindbody to Book & Go?
No. Book & Go offers equivalent class scheduling, event registration, and POS features. You gain court booking, tournament management, player rankings, open-match coordination, and white-label app — all included.
